General Assembly & Gathering Registration Details for Delegates 2025

Dates for the General Assembly (GA) & Gathering

The GA is open only to delegates. If you are a full member, please ensure you have at least one delegate attending (either in person or online) so we can reach quorum.
Delegates Ticket Allocation & Membership fees
| You can only vote in the General Assembly if you have paid your community membership fee through this link. In order to register for in-person participation follow the following steps. Then make sure you assign your voting delegate! See instructions below!  Ecoproject = 1 delegate Aspiring ecovillage = 2 delegates Aspiring network = 3 delegates Full ecovillage = up to 6 delegates (only if you paid the additional 3 to 5€ per person in zour ecovillage: 3 delegate tickets for up to 10 members, 4 delegate tickets for up to 30 members, 5 delegate tickets for up to 40 members, 6 delete tickets for up to 50 members) Full network = up to 10 delegates (same as above: 5 for up to 10 members, 6 for up to 20 members, 7 for up to 30 members, 8 for up to 40 members, 9 for up to 50 members, 10 for up to and plus 60 members) |
General Assembly Prices
| Only for delegates. There is no “ticket” to pay for the GA. You must however pay for your food & accommodation with our host (4 nights). The arrival day for the GA is August 8 from 14:00 onwards and the departure day (if you are not staying for the Gathering) is August 12 before 13:00. The price depends on the accommodation type that you choose: Bed in 2 bedroom: 340€ Bed in mixed 4-bedroom: 260€ Bed in mixed 6-bedroom: 160€ Own tent in camping area: 120€ Caravan parking including 1 passenger: 145€ Please note that there is limited availability for indoor rooms. |
Gathering Ticket Prices
| If you also intend to attend the Gathering, please find your prices for food and accommodation below. Attention: As a delegate you do not need to pay the individual membership fee, as you are already a member of the network. However, you have a specific amount of delegate tickets for the Gathering. Make sure you use not more than this amount for your community. Community members who do not fit into the delegate tickets amount of your community (below called associates), will need to pay a normal ticket price for the Gathering. The ticket price depends on when you buy it, with 3 “tiers”, and the earlier you buy your ticket, the cheaper. Ticket price for delegates: Tier 1 = until March 31 = 30€ Tier 2 = until May 31 = 50€ Tier 3 = until August 12 = 70€ Ticket price for associates (regular participant prices): Tier 1 = until March 31 = 50€ Tier 2 = until May 31 = 100€ Tier 3 = until August 12 = 160€ The arrival day for the Gathering is August 12 from 14:00 onwards and the departure day is August 17 before 13:00. You need to book your food and accommodation with our host (5 nights). The price depends on the accommodation type that you choose: In your own tent: 150€ In your own campervan: 175€ Extra passenger in a campervan: 150€ A bed in a shared indoor room with 6 beds: 230€ A bed in a shared indoor room with 4 beds: 350€ A bed in a shared indoor room with 2 beds: 450€ Please note that there is limited availability for indoor rooms. |
GA & Gathering
| If you are a delegate attending both the GA and the Gathering, it means you’re staying 9 nights, arrival day August 8 after 14:00 and departure day August 17 before 13:00. You will be able to book your food & accommodation for both those events and the total price will simply be a sum of the 2 above. |
CANCELLATION, REFUND & TRANSFER POLICY
| The membership fee (Step 1) is non-refundable. For the ticket part (Step 2): – Cancellation requests received up to 30 days before the start of the Gathering will receive a full refund minus any transaction fees charged by the payment platforms (Stripe/Paypal). – Cancellation requests received up to 14 days before the start of the Gathering will receive a 50% refund minus any transaction fees charged by the payment platforms (Stripe/Paypal). – Cancellation requests received less than 14 days before the start of the Gathering will not receive any refund – unless a medical certificate or a death certificate from a close relative is provided, then a 50% refund minus any transaction fees charged by the payment platforms (Stripe/Paypal) will be issued. Once the event has started (August 12), no refunds are made. Cancellations can be requested by email to gathering(at)gen-europe.org. Please allow 10 working days for your refund to be processed by our team. Ticket transfer: as your Gathering ticket is connected to your personal GEN Europe membership it is not possible to transfer it to another person |

Voting delegates for in-person or online participation
Delegates can vote during the GA (online during the GA or online asynchronously between the 30th of July – 6th of August ), therefore we ask each full member to assign one voting delegate each, so we can ensure that we reach the quorum. Assign your voting delegate here.
Online participation & asynchronous voting possibility
You can attend the General Assembly online on the 10th and 11th of August 2025. If you wish to participate please assign your voting delegate, and all preparatory materials will be shared with you.
We also offer for our online voting delegates to give their vote asynchronously prior to the General Assembly, in case you can’t attend online during the General Assembly. Please do register yourself as an asynchronous voting delegate here and all preparatory materials will be shared with you and the voting process will be open for you between the 12 – 16th of August.
