GEN Europe is searching for a Project Officer!
We are pleased to announce that the Global Ecovillage Network of Europe (GEN Europe) is looking for a Project Officer to join our small and friendly team!
You will support the coordination of GEN Europe’s European-funded project portfolio, working closely with the project development and management team to ensure smooth delivery across an active and growing set of Horizon Europe, CERV, Creative Europe, and Erasmus+ projects. Your role will be central to keeping our project work organised, well-documented, and on track — enabling GEN Europe’s senior staff to focus on strategic development, stakeholder relations, and content delivery.

You’ll benefit from flexible working with a friendly team working remotely from across Europe. You’ll be comfortable working within a horizontal and collaborative structure and must be confident working with remote teams. You will work directly with the Development Manager, the General Coordinator, and project teams.
You’ll share the values of our organisation and be knowledgeable about the European ecovillage movement and allied movements in the sphere of regenerative, community-led, participatory development and ecological transition.
Like all members of the GEN Europe team, you will also be expected to contribute to the broader work of the organisation beyond your primary project assignment — including supporting new project development in your area of expertise as relevant opportunities arise.

Responsibilities and Requisite Skills
Main Tasks and Responsibilities
Project Coordination and Administration
- Project monitoring and tracking: maintaining up-to-date records of deliverables, milestones, reporting deadlines, and partner obligations across active projects
- Partner communication support: drafting and managing routine correspondence with consortium partners, including meeting invitations, follow-up notes, and document requests
- Meeting coordination: scheduling and preparing for consortium meetings, taking minutes, and tracking action points through to completion
- Document management: organising and maintaining project document repositories (Google Drive, Nextcloud, etc.), ensuring version control and accessibility for all team members
- Reporting support: assisting in the preparation of technical and financial reports for Horizon Europe, CERV, Creative Europe, and Erasmus+ projects, including compiling partner contributions and checking compliance with reporting templates
- Timesheet and financial tracking: supporting the Financial Manager with timesheet collection, cost tracking, and budget monitoring across projects
- Participant and applicant management: supporting calls for participants, open calls, and selection processes for project activities including training courses, exchanges, and third-party funding mechanisms
Portfolio-Wide Support
- Supporting the Development Manager: assisting with the administrative and coordination dimensions of GEN Europe’s project development work, including research, partner outreach support, and proposal preparation assistance
- Cross-project coordination: contributing to the coherence and quality of GEN Europe’s portfolio management, including supporting the onboarding of new project staff and the handover of tasks between projects
- New project development: as part of the broader GEN Europe team, contributing to new project development as relevant opportunities arise — supporting research, partnership scouting, or proposal drafting in your areas of competence
Event and Activity Support
- Logistical support for project events: assisting in the organisation of workshops, webinars, and consortium meetings, including travel bookings, participant communications, and post-event reporting
- Support for the European Ecovillage Gathering: contributing to the coordination of project-related activities at GEN Europe’s flagship annual event
Essential Skills
- At least 1 year of proven experience in project coordination or administration in a European-funded project context (Horizon Europe, Erasmus+, CERV, Creative Europe, or similar)
- Strong organisational skills with the ability to manage multiple workstreams, deadlines, and stakeholders simultaneously
- Excellent written English; clear and professional communication style in both formal and informal contexts
- Comfortable working with remote, international teams within a horizontal and collaborative organisational culture
- Proficient in text processing, spreadsheet and presentation software, and collaborative project management tools
- Reliable, detail-oriented, and able to work independently with minimal supervision
Desired Skills and Experience
- Direct experience with Horizon Europe project administration — familiarity with reporting requirements, timesheet conventions, and grant agreement obligations is highly desirable
- Familiarity with the GEN Europe network, the ecovillage movement, or allied movements in regenerative development, social ecology, or participatory governance
- Experience supporting or participating in proposal development for EU-funded projects
- Knowledge of financial monitoring and budget tracking in an EU-funded project context
- Experience with sociocracy or non-hierarchical organising frameworks
- Spanish or German language skills are a plus
