Instructions General Assembly & Gathering Registration for GEN Europe members 2026

We’re excited to announce that registrations for this year’s General Assembly (GA) and ticket sales for the 2026 Gathering are now open!

Most important info first….
• The General Assembly (GA) generally is for delegates only
• The Gathering is open to all representatives of our members (delegates and participants) and the general public
• The GA has no ticket – you only pay for food & accommodation
• Delegates can vote at the GA and get a discounted Gathering ticket
• Each community has a limited number of discounted delegate Gathering tickets depending on membership type
• To access discounted delegate tickets, at least one delegate must attend the GA
How can I attend?
Your community (ecovillage, ecoproject or network) can send several people to the GA and the Gathering as representatives.
Representative
A representative is a full member of your community.
• receives individual access to the members’ area
• can register for the GA and/or the Gathering
• can attend the Gathering either as a delegate or as a participant
Delegate
A delegate is an official representative of your community.
• can attend the General Assembly (GA)
• receives a discounted Gathering ticket
• there is a limited number of delegates depending on membership & amount paid
Each GEN Europe member must assign one voting delegate from among the delegates attending the GA. This is important because it ensures that we reach quorum.
Participant
A participant attends the Gathering only.
• does not attend the GA
• pays the standard Gathering ticket price
• does not need to pay individual membership (representative of a member community/project/network)
The General Assembly
The GA is open only to delegates. The GA has no ticket, you only pay for food and accommodation. A community may send more than one delegate to the GA. To access discounted delegate Gathering tickets, at least one delegate must attend the GA (online or in person).
The Gathering
The Gathering is open to all representatives of our members (delegates and participants) and the general public.
Each member has a limited number of discounted delegate Gathering tickets, depending on its membership type (see the allocation below.) Once all delegate tickets are used, representatives of members can still attend as participants.
Important:
If a representative attends the Gathering as a participant:
• they do not need to pay for an individual membership (that is covered by your collective membership)
• but they pay the standard Gathering ticket price

Depends on community size and the additional €3–5 per person fee:
– up to 10 members → 3 delegates
– up to 30 members → 4 delegates
– up to 40 members → 5 delegates
– up to 50 members → 6 delegates

– up to 10 members → 5 delegates
– up to 20 members → 6 delegates
– up to 30 members → 7 delegates

How to register for the General Assembly and the Gathering?
Step 1: Log in to the Membership Area
To register for the GA and/or purchase a Gathering ticket, you need access to the members’ area.

Step 2: Register for the GA and/or buy a Gathering ticket
After logging in to the members’ area register for the General Assembly (GA) and/or purchase your Gathering 2026 ticket.
Registration and ticket purchase are done via a form, you find in the members’ area.
Step 3: Book food & accommodation
After registering for the General Assembly and/or purchasing your Gathering ticket you will be redirected to a page with a direct link to book your food and accommodation for the event.
! Be aware that this step is mandatory.

❗ Important Notes
✅ You must complete all 3 steps to be granted entry to the Gathering.
✅ No Gathering tickets will be issued without a valid membership.
✅ At check-in, you must present:
• Your Gathering ticket
• Your food & accommodation booking

Each person who will register (delegate or participant) must have their own account.

❗Very Important – to avoid account issues:
When registering new representatives:
• use your own device, OR
• make sure you are logged out
Otherwise, you overwrite your own account.
Once registered, each person will receive individual login details.

Prices
The General Assembly
There is no “ticket” to pay for the GA. You must however pay for your food & accommodation with our host (4 nights).
The arrival day for the GA is July 9th from 14:00 onwards and the departure day (if you are not staying for the Gathering) is July 13 before 13:00.
The price depends on the accommodation type that you choose:
• In your own tent: 201€
• In your own campervan: 213€
• Dorm Indoor with covered mattress (10 to 20 beds): 213€*
• Dorm Tent with covered mattress: 213€*
• Shared room with shared bathroom, mattress, duvet, pillow (8 beds): 293€
• Shared room with shared bathroom, mattress, duvet, pillow, linen, towel (4 beds): 313€
• Shared room with shared bathroom, mattress, duvet, pillow, linen, towel (3 beds): 333€
• Double room with shared bathroom, mattress, duvet, pillow, linen, towel (2 beds): 393€
Please note that there is limited availability for indoor rooms.
• Bring your own pillow, sleeping bag, bed linen
The Gathering
The ticket price depends on when you buy it, with 3 “tiers”, and the earlier you buy your ticket, the cheaper.
Ticket price for delegates:
• Tier 1 = until March 31 = 30€
• Tier 2 = until May 31 = 50€
• Tier 3 = until July 13 = 70€
Ticket price for participants:
• Tier 1 = until March 31 = 50€
• Tier 2 = until May 31 = 100€
• Tier 3 = until July 13 = 150€
The arrival day for the Gathering is July 13th from 14:00 onwards and the departure day isJuly 18th before 13:00.
You need to book your food and accommodation with our host (5 nights).
The price depends on the accommodation type that you choose:
• In your own tent: 255€
• In your own campervan: 270€
• Dorm Indoor with covered mattress (10 to 20 beds): 270€*
• Dorm Tent with covered mattress: 270€*
• Shared room with shared bathroom, mattress, duvet, pillow (8 beds): 370€
• Shared room with shared bathroom, mattress, duvet, pillow, linen, towel (4 beds): 395€
• Shared room with shared bathroom, mattress, duvet, pillow, linen, towel (3 beds): 420€
• Double room with shared bathroom, mattress, duvet, pillow, linen, towel (2 beds): 495€

GA & GATHERING
If you are a delegate attending both the GA and the Gathering, it means you’re staying 9 nights, arrival day July 9th after 14:00 and departure day July 18th before 13:00.
CANCELLATION, REFUND & TRANSFER POLICY
The membership fee (Step 1) is non-refundable.
For the ticket part (Step 2):
• Cancellation requests received up to 30 days before the start of the Gathering will receive a full refund minus any transaction fees charged by the payment platforms (Stripe/Paypal).
• Cancellation requests received up to 14 days before the start of the Gathering will receive a 50% refund minus any transaction fees charged by the payment platforms (Stripe/Paypal).
• Cancellation requests received less than 14 days before the start of the Gathering will not receive any refund – unless a medical certificate or a death certificate from a close relative is provided, then a 50% refund minus any transaction fees charged by the payment platforms (Stripe/Paypal) will be issued.
• Once the event has started (August 12), no refunds are made.
Cancellations can be requested by email to gathering(at)gen-europe.org. Please allow 10 working days for yourrefund to be processed by our team.
Ticket transfer: as your Gathering ticket is connected to your personal GEN Europe membership it is not possible to transfer it to another person.
