Event Coordinator role and application

We are happy to announce that the Global Ecovillage Network of Europe (GEN Europe) is looking for an Event Coordinator to join our small and friendly team.

We are looking for a candidate with a creative approach, willing to work with transparency, and who has excellent organisation skills, and enthusiasm for the event and the movement.
The candidate will be working in a team with our current European Ecovillage Gathering coordinator, the GEN Europe staff, as well as the host ecovillage, and must be comfortable and confident working with remote teams.  


ABOUT THE EUROPEAN ECOVILLAGE GATHERING:

The European Ecovillage Gathering is the annual Gathering of European ecovillages and all those curious about community, alternative living, sustainability, and regeneration. It is four days long event and takes place in a different European community each year. The expected number of participants is between 600 and  1000. 

It’s a unique mix of talks and participatory workshops, authentic networking and connection, and displays of innovation and tradition.  It seeks to incorporate all four dimensions of sustainability: social, economic, ecological, and cultural. The program often ranges from displays of cutting-edge sustainable technology to ceremonies that draw on indigenous traditions, crash courses in environmental advocacy, and meditation and yoga practices.  

It is a homecoming space for the longtime GEN Europe family and at the same time a space to welcome the curiosity of those new to the ecovillage movement.  Now approaching its 30th year, we seek to balance growth and create a financially sustainable event with accessibility and remaining true to our core values.

ROLE DESCRIPTION
Role: Event Coordinator
Organization:Global Ecovillage Network of Europe (GEN Europe)
Position type: Freelance contractor or possibility of employment contract in Spain or Germany
Work Schedule:60 hours per month (0.38 FTE). This is an average estimation of working hours throughout the year.  The role will require more hours in the months leading up to and during the Gathering. Any overtime can be compensated with fewer working hours in less demanding months.
Remuneration: 1200 EUR gross/month (flat cross-organisational rate of 20 EUR/hr)
Location: Home office or the possibility of working in-person from GEN Europe office Navarra (Spain). The selected candidate is expected to be present at the European Ecovillage Gathering venue during the Gathering and at least 10 days before.

RESPONSIBILITIES AND REQUISITE SKILLS FOR APPLICANTS
Main tasks and responsibilities*
– Developing and managing the Gathering development and execution 
– Budget management before, during, and after the Gathering
– Coordinate with the Gathering host, including a site-visit in the early stages of the planning
– Overall coordination of the Programme Development, Communications, Registrations, Fundraising and IT 
– Volunteer coordination 
– Provide periodic progress reports to the GEN Europe office and council
– Support with the organisation of other smaller GEN Europe events and GA. If these tasks will exceed the contractual hours, they will be counted as overwork hours according to the GEN EU policy booklet.
– Attendance of weekly GEN Europe staff meetings and in-person staff meetings twice a year.  

*These responsibilities are shared between the two Gathering coordinators and delegated between them.

– Event Management

– Budget and financial management
– Communication in group settings
– Ability to motivate diverse groups
– Technical skills working with office software
– Proficient in English
– Acquainted with the GEN network or similar grassroots movements
– Experience with sociocracy or non-hierarchical organising frameworks
– A flexible, proactive all-rounder willing to get hands on with a range of tasks
– Availability to travel within Europe, including the European Ecovillage Gathering and General Assembly +/- 10 days in summer
